ORGANIZATIONAL CONTEXT:

The United Nations World Food Programme (WFP) is the humanitarian organization that saves and changes lives by providing food assistance in emergencies and working with communities to improve nutrition and build resilience.

PURPOSE OF THE POSITION:

The position holder will support the effective daily delivery of specialized, customer-focused, and value-for-money services within the Service Management portfolio.

MAIN RESPONSIBILITIES (indicative and non-exhaustive list):

1. Perform tasks and activities within the Service Management portfolio to support efficient and high-quality service delivery.

2. Collect data and prepare basic analyses to support the creation of reports (including monthly vehicle reports) that contribute to efficient resource management and facilitate decision-making.

3. Carry out routine actions related to administrative tasks or other relevant areas, contributing to the efficient and timely recording of data in corporate systems.

4. Manage and maintain physical and digital records in accordance with established procedures to ensure quick and easy access to data when needed.

5. Serve as a point of contact for internal inquiries, providing timely and accurate responses to facilitate the efficient and effective resolution of daily issues.

6. Contribute and suggest improvements to procedures and practices to support the continuous improvement of the services provided.

7. Use digital tools and technology applications to improve work practices and customer service. Conduct transactions in WINGS and assist in updating other systems.

8. Liaise with other functions and external contractors to enable efficient service delivery.

OTHER JOB REQUIREMENTS (details will be determined by the job manager)

1. Ensure the provision of various services, including facility management, light vehicle fleet management, travel, driver activities, inventory, etc.

2. Develop Terms of Reference (TORs) for the contracting of services and maintain contact with suppliers to ensure that the services provided are timely and efficient (including communication with the current Administration and the tenant where the institution’s offices are located).

3. Perform any other activities required by the office.

FUNCTIONAL CAPABILITIES:

Operational Support Services and Reporting Demonstrates the ability to translate operational plans into clear action steps so that team members support program implementation. Gathers and communicates data to generate empirical insights.

Internal Controls and Risk Management Demonstrates a basic understanding of internal controls, risk management, and monitoring mechanisms, as well as their immediate applicability to the client’s core activities.

Resource Management Monitors trends in staffing and resource usage to anticipate and escalate potentially problematic issues to program management and key customers.

Prioritizing Customer Service: Responsible for monitoring and supervising administrative work, comparing it with established standards and protocols to provide excellent services. Ensures that customer issues are identified and resolved.

DESIRABLE EXPERIENCE TO PERFORM THIS ROLE:

• Demonstrated knowledge of the regulations, policies, procedures, processes, standards and systems of the Management Services used by WFP.

• Experience in collecting data and preparing basic analyses related to the Management Services portfolio, such as asset management, facilities management, fleet management, travel management, or similar areas.

• Provided support to staff by providing advice and guidance.

MINIMUM STANDARD QUALIFICATIONS AND EXPERIENCE REQUIRED: Education: Completion of secondary education. A post-secondary education certificate in the relevant functional area will be an asset.

Experience: Two years of experience related to the functional sphere of the operation.

Languages: Fluent Spanish. Intermediate English (minimum B1).
